How AI is helping us visualise events before they exist

By Rob Mackay

At LOCK5, we’ve been experimenting with AI to help us do exactly that. From visualising pop-up dining experiences to testing venue layouts and atmospheres, these tools are helping us bring ideas to life more efficiently, without replacing the craft, detail, or human touch that makes our events memorable.

Where AI Is Starting to Fit Into the Events Industry

The events industry has always evolved alongside new technology. From lighting and staging to digital ticketing and hybrid experiences, every shift opens up new ways to create memorable moments.

Now, AI is finding its place in the events industry.

At LOCK5, our focus has always been on how spaces feel when people walk into them. The atmosphere. The flow. The details. That moment when an empty field or blank venue transforms into something unforgettable.

Our work is rooted in craft, creativity, and human collaboration, and that isn’t changing. But AI tools are helping us visualise ideas earlier and communicate them more clearly, which is proving incredibly useful.

Visualising Event Concepts Before They Exist

Recently, we worked with Barnabas Lawson, Founder of Ai Creator Tools, on a short concept film for one of our pop-up dining experiences, Dining in Plain Sight.

The challenge was simple: the event hadn’t happened yet. There was no footage, no reference video, nothing to show clients what it would feel like.

Using AI video tools, we generated images, narration, music, and motion, then edited them together into a short, atmospheric teaser.

A long table set in a wildflower field. Fire-cooked food. A simple, elegant dining setting that felt both refined and a little wild.

It wasn’t about replacing traditional production or creating something perfect. It was about bringing an idea to life before it exists, something every event business understands.

How AI Is Helping Event Design and Planning

A big part of what we do is helping clients imagine something that doesn’t yet exist.

Spaces transformed. Concepts realised. Designs built from a sketch or a conversation.

AI is helping us explore ideas faster. With tools for event visualisation, we can generate layouts, styling concepts, lighting moods, and tablescapes in minutes rather than hours.

Colours can change. Furniture can move. Atmospheres can shift. Clients can see what’s possible earlier in the process, making collaboration more creative and decisions more informed. It’s not the finished product, it’s simply a powerful starting point.

Supporting Event Marketing and Storytelling

AI is also starting to play a role in how event businesses communicate what they do.

Whether it’s social media content, moodboards, teaser videos, or early-stage concept visuals, AI tools help generate ideas quickly. Designers, filmmakers, and creative partners then refine them into the final product.

Used well, AI speeds up the exploration phase without replacing the craft behind memorable events.

Technology Is a Tool, Not the Experience

Here’s the key point: our industry is built on human experience – the feeling guests get when they walk into a space, the details that make an event unforgettable.

AI doesn’t replace that. If anything, it helps us get closer to the idea faster so we can spend more time perfecting the real thing.

Like any new technology, it can feel overwhelming. Platforms change constantly, and it’s tricky to know where to start. But for teams willing to experiment, the opportunity is huge.

For us, it’s simple: if a tool helps visualise event concepts, communicate ideas clearly, or move faster creatively, it’s worth exploring.

Because at the end of the day, the goal hasn’t changed;

Create something people remember.
